HR & Office Administrator

RetailSonar is a fast growing SAAS company specialized in geomarketing for large retail and service companies. RetailSonar has offices already in 4 countries (Belgium, The Netherlands, France, Germany) and has technological readiness for further scaling up towards European market leadership. Are you excited to be part of an international, growing team and eager to help scale our HR processes for growth? Then you might be the ideal person to become our new HR & Office Administrator.


About you

  • Preferably, you hold a bachelor’s or Master’s degree office management, HR management or business management.
  • A first experience in an (hr/payroll) administrative role is a strong plus.
  • You have a strong eye for detail and are able to work meticulously.
  • You like to work in an organized and structured manner.
  • You have a proactive mindset and are able to bring new ideas to improve our office culture
  • You have a good understanding of social law and are interested in expanding this knowledge to an international level.
  • Next to Dutch you have also excellent English communication skills. Knowledge of French is a strong plus.
  • You are a self-starter that can work independently.


About the role

  • Payroll:
    • You ensure a timely and correct payroll process for all countries (BE, NL, FR and DE) and maintain close contact with our payroll partners.
  • You ensure all personnel files are correct and up to date.
  • You manage our fleet and are in the driving seat for guiding our employees in the process of selecting a (new) company car according to our guidelines.
    • You draft and follow-up on all employee related contracts and policies.
    • You are the first point of contact for our employees for all hard HR related matters.
    • You process special requests, eg. parental leave, youth holidays, etc.
    • You are responsible for a smooth onboarding of newly hired employees from the practical side (all policies and needed documentation is drafted and signed, create new user in all tools, laptop ordering, insurances are in order etc.) and you guide them on our tools on their first day.
  • Office and facility management:
    • You are responsible for making sure the office is running smoothly. This means making sure there is coffee and lots of coffee, and of course other office supplies.
    • You maintain connections with the office owner and syndics and follow-up on requests and office projects.
    • You maintain contact with all relevant office suppliers (fruit delivery, lunch delivery for team events, Proximus, cleaning crew, etc.)
    • You arrange all travel requests for our (international) employees and help organize team (building) activities and afterworks.
    • You make sure our office is tidy and neat and maintains its cool vibe.
